Our registered office is 5th Floor, 167–169 Great Portland Street, London, W1W 5PF, United Kingdom. For privacy enquiries, email info@valensrisk.com.
What this notice covers
This notice covers this website, initial enquiries and routine business correspondence. Project-specific arrangements may require additional privacy information, which will be provided when the scope and information requirements are agreed.
Information we receive
If you email or telephone us, we receive the contact details you provide, your organisation and role where relevant, and the information you choose to share about your enquiry. Business contacts may also be introduced by a colleague or another professional contact.
Our hosting and security providers may process technical information such as IP addresses, browser details, requested pages and access times to deliver and protect the website. Please keep initial enquiries to the information needed to discuss your requirements; detailed personal or sensitive operational information can be handled through arrangements agreed separately.
Why we use it
We use enquiry information to respond, understand your requirements, prepare proposals and keep an appropriate record of the discussion. We rely on our legitimate interests in responding to prospective clients and running the business, balanced against your rights and reasonable expectations. Where you personally request steps towards a contract, or are a party to a contract, we may also rely on the need to take those steps or perform that contract. We retain information where necessary to meet legal obligations, including accounting requirements.
Technical information is used for our legitimate interests in operating a secure and reliable website. We do not use enquiry information for automated decisions with legal or similarly significant effects.
Who may receive it
We use Microsoft 365 for business email, and OpenAI Sites and Cloudflare for website hosting, delivery and access security. Relevant information may also be shared with professional advisers or a proposed specialist provider where necessary for the enquiry or engagement. We do not sell personal information. Information may be disclosed where required by law.
Some technology suppliers operate internationally. Where personal information is transferred outside the UK, the relevant arrangements must provide the protection required by UK data protection law, such as an adequacy arrangement or approved contractual safeguards. Contact us for details of the arrangements relevant to your information.
How long we keep it
For enquiries that do not lead to work, our normal retention period is 12 months after the last substantive contact, unless an ongoing discussion or a legal requirement justifies keeping it longer. If an enquiry leads to an engagement, relevant correspondence forms part of the client record. Retention then depends on the contract, accounting obligations and the need to establish or defend legal claims. We review records and remove information that is no longer needed.
Your rights
Depending on the circumstances, you can ask for access to your information, correction, erasure, restriction of its use or transfer of information you have provided. Where processing depends on consent, you can withdraw that consent. These rights are subject to the conditions and exceptions in data protection law.
You have the right to object to processing based on legitimate interests. To make a request or raise a concern, email info@valensrisk.com.
You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/. Contacting us first gives us an opportunity to address your concern.
Cookies and website technology
The VALENS pages do not add advertising cookies, visitor analytics, embedded social feeds or contact-form tracking. Images and fonts are served with the website. The hosting and access-security service may use essential cookies or similar technology to deliver the site securely; the private preview also uses ChatGPT sign-in.
